How AI handles your data
WorkRoad's AI features send the content they work on to AI model providers: the notes, recordings, documents, images and messages you give Copilot, AI notes, transcription, study sets, practice tests and their grading, the feed and the study-room tutor. So that Copilot can search your work, WorkRoad also sends the text of your notes, study sets and transcripts to an embedding model whenever they change.
These requests go through Vercel's AI Gateway. Writing, chat and reading images and documents currently use OpenAI, with DeepSeek and Google as fallbacks. Transcription and search indexing use OpenAI, telling speakers apart in a recording uses Microsoft, grading answers uses Typesafe AI, and the voice tutor uses OpenAI or Google.
For writing, chat, reading images and documents, transcription, speaker labels, search indexing and answer grading, WorkRoad tells the gateway to use only providers that don't train on your prompts. TBD: the training terms for the voice tutor.
What AI makes for you, such as notes, transcripts, study sets and chats, stays in your account with the rest of your content until you delete it. A recording's original upload is deleted once it has been split up for transcription; its audio, transcript and translation stay with the note. Files you attach in Copilot are deleted from storage a week after they are processed, and the text read from them stays with the chat. The voice tutor doesn't store audio; it saves the text of what you said. Notes in the trash, with their recordings, are deleted for good after 30 days.
How long each provider keeps the requests it receives is set by its own terms. TBD: each provider's retention period.

We may use third-party Service Providers to monitor and analyze the use of our Service.
